So OK, this is just another year like last year and presumably like next year. Well, enjoy it; what have you got to lose? Nothing detected that there was a problem so my domain controller hummed away providing all other services (DLNA media server, Subversion server etc.) but not domain services or file sharing. As a result the mission critical service of providing access to homework and other files failed silently leaving my most important users unable to access their core applications and data!

And what caused this disaster I hear you ask? Was it some software flaw or perhaps a security violation? Not quite. It would seem that a ladder, left against a wall in my data centre (for that read separate office building near the house) fell over and hit the keyboard on the KVM switch attached to my core server stack. It happened to be switched to my domain controller and worse than that logged in (I know, shock, horror). Financial Services Regulation – What’s all the fuss about?

I’m going to talk here about IT regulation rather than Basel III and capital adequacy etc. So if you are an economist you can look away now.

Having worked for several banks and still having many friends who work in IT functions in large banks I have some familiarity with the constant cycle of regulatory challenge, inspection, remediation and re-inspection. Some of my acquaintances in senior IT management positions argue that the regulators demands are unreasonable, that it somehow distracts from the business of building and running the bank and that it is a pain which must be borne, much like an occupational hazard. Some other CIO’s I have worked with, whom I respect greatly, have had the attitude of just get it done. No arguments, no complaining, it is a fact of life in a bank, just do it.

I tend to think that both of these approaches are wrong. My experience of the regulators is somewhat mixed but I tend to think that in general what they are asking for is largely reasonable and the fact that these controls are not in place or are not effective is quite a staggering indictment of a broken culture. A lot has been said about banking cultures being broken but my experience, certainly in Barclays Capital as was, is that it was full of very professional people trying to do the right thing for their customers and spending a lot of hours at work doing it. So what then am I saying?

I think that my criticism is more about the demands put on IT teams to do a vast amount in a very complex and pressured environment and to do it in a world where costs must constantly be reduced. The fact that these teams achieve what they do is a testament to their abilities. The trouble is that putting your head above the parapet and asking for extra money and time to ensure that the control environment is sound and will meet the regulators needs not just now but in the future is not likely to be popular with senior management, and asking to do that without an actual audit point to close is unthinkable; often that is the same senior management who later demand to know why they are struggling with regulatory audits.

But the IT controls are only half of the story. After SocGen had its rather unfortunate and public issues caused by Mr Kerviel some years ago I remember being made part of a task force to answer the question “Could it happen here?”.  Believe me, no senior manager wants to get the answer back, well yes, possibly not in exactly that way but in theory yes it could. Around that time I was being called about twice per day by vendors of security and compliance products all of whom told me that if only SocGen had had their product then this would not have happened to them. I suspect that my response was a little frustrating to them. I explained that SocGen had lots of controls that could have, and in some cases did detect the fraudulent behavior. The problem really wasn’t with the design of the controls; it was with both their implementation and their operation. If you are going to ignore you controls or provide simple workarounds for them then you must expect that at some stage your controls will be circumvented and you will be the victim of fraud.

So when a regulator, internal auditor or any other interested party puts pressure on your team to implement some new control framework rather than see it as a "just do it" (in banking terms JFDI) requirement or as a cost of doing business, perhaps think of what the control means. What behavior will it stop and how much could that behavior cost your organisation in the future. Throwing your support behind building strong and effective controls may actually stop you being the next organisation on the front pages of the papers. Of course measuring the negative is always hard so you may struggle to prove the return on investment for that project after the fact. Slightly more usefully I can see who emails me most and on what subject, and similarly who I am sending emails to and what subject. The most useful thing remains being able to find that very elusive email that you know you sent (or were sent). Splunk always was the tool to find that needle in a haystack and seven years worth of emails represents a pretty big haystack! Naturally you can drill-down into the detail you need in this dashboard.

How good would it be to be able to analyse who was sending you emails about audit or to immediately find that email you were sent last year about bonuses that had an excel attachment? Better yet, how about analysing who you are communicating with most and what about… Sounds hard to do but that is exactly what Splunk is good at. Some pretty big orgainsations are doing it with their entire company email feed and using the Splunk App for Microsoft exchange to make sense of it all, but I needed something a little more pedestrian. Now the tricky bit; how do you get all your personal emails into Splunk? Well I obsessively save emails so I have lots and lots of PST files full of emails that seemed important at the time. Outlook is pretty poor at processing these large files. Try having a few big ones open from a network share if you don’t believe me…

The trouble is that Splunk can’t interpret PST files. To be honest Microsoft struggles so what chance do the rest of us have? Well now that I don’t work seventeen hours a day I find myself at a loose end at the weekends so I thought I’d tackle this problem. I had already written an application to read PST files (see my previous post) and search them at high speed in memory so I had the beginnings of what I needed. I just needed to do the same sort of thing but to write the headers out to a CSV file for Splunk to process.

Having looked at my old PST files I realised that I had 9 of them totalling about 13GB of old data. So that answered the next question about requirements; I needed to process several files at once, which meant the program needed to be multi-threaded. Actually it all proved remarkably simple to put together and in one afternoon I had a working utility which allowed me to select any number of PST files and which then loaded and worked on them in parallel reading each message in turn and writing the headers out to a file. Fortunately my home built machine is a six core AMD box which this little application kept pretty busy when I ran it for the first time.

I wrote it to update the user on progress as sitting waiting for a file to appear is not the interactive experience I desire. Having created the 9 CSV files I loaded them into my home Splunk server (what do you mean you don’t have one) and in seconds they were indexed and I could start querying. I have to say that it was worth the small effort involved. I can very quickly search by subject, sender, recipient, CC, attachments or anything else that is in the header. I can easily graph out the trends and relationships but best of all I can easily find that elusive email I knew that I had received and having identified it I can go back to the original PST and extract the attachment or read the email. I would put wonderful Splunk screenshots up but I don’t really want you to see my emails, so I suggest you try it for yourself.

Microsoft Excel and PowerPoint changed all that of course and a few years back you were the PowerPoint king (or queen), presenting slide after slide of gaudy graphs which you could click on to go to the relevant slide with the numbers.

Those days however are passing because no sooner is your presentation put together than it is out of date. Real-time metrics and visualisations is what it is all about nowadays. Presenting now means a flourish of your corporate iPad rather than clicking through a static presentation, as you access the live system and talk the lesser mortals in the room through your data as it changes in real-time.

But not all is rosy in the garden. With great power comes great responsibility and the power to analyse and present data, as it has passed to the massed ranks of middle management has become if not abused then certainly confused. And here I’m not just talking about the plethora of charts without axis labels or units. I’m not even talking about the pie chart that didn’t add-up to 100% (yes, that one came from one of the biggest global consultancies and was very widely distributed). No my real issue is the lack of linkage between the data and the chart or more often the data and the bold statement.

If I had a penny for each time I have heard “…and the data clearly proves that…” only to have to point out “No, actually it doesn’t” then I’d be a rich man. I personally am at a loss to understand the faulty thinking that seems to create linkages between raw data and conclusions apparently from thin air! What is often the greatest frustration is where the poor ignorant fool who clearly doesn’t understand his own data insists on arguing against all logic that the deductions he or she has drawn are fully supported when clearly there is little or no obvious relationship at all. The most common error I have seen is a failure to understand cause and effect. Two things may well be correlated but that does not prove that one causes the other. It may be that there is a third thing causing both for instance and in some circumstances I have seen claims that the effect creates the cause. Other examples are worse, where completely unrelated data is used to demonstrate some relationships that simply are not there. It’s like trying to show that the price of cars in Britain is driving the increase in the cat population.

Can the root of this problem be the poor teaching of maths in our schools today, and most specifically the disciplines of statistics and probability? Surely this sort of thing is more about common sense than it is about a deep mathematical understanding of numbers? Why is it that as more people have access to the tools to present the data the less it seems to means?

Alas, there is an impact from this poor understanding of the data that has a very significant bearing upon the operations of our companies. I do like to draw a conclusion when I write these posts but the only one of value I can make from this one is that companies need to develop and value the role of data scientist.
